Wood Cemetery Association Meeting October 7, 2017
A Special Association Meeting was called to order by Vice President Katy Wilhelm Mitchell at 11:00 am on Saturday, October 7, 2017 to address the need of a New President. President Craig Wilson passed away unexpectedly this year. His memorial service was held on June 27, 2017. The meeting was held in conjunction with a cemetery work day with notification of such
placed on the Wood Cemetery Website, Facebook and local Gatesville Messenger and Hamilton Herald Newspapers. There were 11 present. The minutes and treasurer’s report from the prior 2016 meeting were approved as read. Bank balance was $846.97 with one mowing in 2017 and cost of new checks incurred. Old Business discussed was regarding the placement of
a Wood Cemetery sign for contact information. No action had been taken since prior meeting. New Business consisted of election of a new President, discussion of any needed amendment to by-laws, new bank signature cards, and discussion of a debit card for Wood Cemetery. Jeanne “Kitten” Locke was nominated for President of the Wood Cemetery Association by Vice President Mitchell and Phillip Gibson seconded the motion. All present voted in favor. She agreed with acknowledgement that it would only be for 3 year period as stated in by-laws. Current Vice President Katy Mitchell and Secretary/Treasurer Melinda Burke would continue as officers. A motion was made by Amy Moore to have all three officers, President Jeanne Locke, Vice President Katy Mitchell and Secretary/Treasurer Melinda Burke on the signature card of
the Wood Cemetery Association account at the National/United Bank located in Gatesville, Texas. Carol Hill seconded the motion. All present voted in favor. The By-laws will be amended to include approval of all three officers’ ability to sign checks. There was discussion regarding the need of a debit card to pay for the Wood Cemetery web domain yearly expense. It was decided that the officer incurring the expense would be reimbursed with a check from the Wood Cemetery account and No Debit Card would be ordered. It was noted that Past President Craig Wilson had personally paid the yearly expenses for the web domain and yearly cost of mailing newsletters, which would now become expenses of the association. Vice President Katy Mitchell made a motion to change the Association By-Laws to read “the trust fund (CD) can be accessed for minimal maintenance expense if the general funds become insufficient”. This motion was seconded by Billie Young. All present voted in favor. Currently the CD renews yearly in November. Therefore, prior to yearly renewal of the CD, the general operating bank funds will be reviewed to determine if sufficient dues/donations are expected in upcoming year to conduct minimal maintenance. Documentation will be available in the event funds are transferred from CD to General Operating Account. The By-laws will be amended to reflect this. Phone contact for Director Pat Moore 254-939-3575 was attempted during the meeting, but to no avail. Bob Johnson was elected as a new director. The officers will meet in near future to discuss responsibilities and completed an updated bank signature card. The meeting was then adjourned by Vice President Katy Mitchell.
